Key Role
The mandate of the Operations Support Team is the development, documentation and execution of operational processes to support subscriber contract management and status changes, billing, and issue investigation and resolution. As a member of the team, the Sr. Coordinator, Operations Support provides internal support to key GS1 Canada departments (Operations, Finance, Industry Relations, Industry Engagement), and interacts with external contacts (Subscribers). The team focuses on evaluating and building process controls, enhancing reporting capabilities and developing SOPs to improve internal systems and processes.
Duties and Responsibilities
  • Address issues coming in to the Operations Support Group mailbox, as assigned by the Supervisor, Operations Support;
  • Prefix authorization: conduct ownership issue research as assigned;
  • Contract management:
    • Provide quotations for subscription, software, set-up and data loading options for all GS1 subscribers. Set up applicable contracts and upgrades/ renewals, onboard new vendors
    • Review ProSYNC services with vendors for correct level based on revenue brackets.
    • Ensure CRM data/event is added, updated and accurate
    • Assign renewals within team
    • Manage tracking process, produce monthly reports
  • Software and Subscription billing review:
    • Exception investigation
    • Flag contracts impacted by changes in process or business rules
    • Update SOP's to reflect billing remediation actions and changes in process
  • Finance Request Forms: generate FRFs as required;
  • Revenue Confirmation Forms:
    • Manage monthly Revenue Confirmation process by contacting subscribers (i.e. phone, email) and ensuring all information is up to date and complete
    • Send, receive RCFsand update CRM accordingly
    • Manage RCFrenewal dates, validation and tracking
  • GTIN billing and PO Campaign:
    • Assist in monthly and annual GTIN analysis
    • Manage subscriber inquiries about GTINs billed
  • Mergers and Acquisitions (Subscription and Software):
    • Manage M&A impact on contracts, services, catalogues, prefix allocation/ authorization, CRM documentation
    • Track M&A’s completed
  • Terminations (Subscription and Software):
    • Manage termination impact on contracts, services, catalogues, prefix allocation/ authorization, CRM documentation, final billing/credits, I&V
    • Track terminations processed
  • Subscriber reinstatement: manage for subscription, software and other products as assigned;
  • Systems and Technology: assist with end-user testing and implementation of new features in the Billing System to ensure alignment to SOPs, accurate billing and reporting;
  • Key Knowledge Areas:
    • Activity tracking, future date service/contract event management.
    • Recognize opportunities for process improvement
Required Knowledge, Skills, and Experience
  • Post-secondary education in business or a related subject;
  • 3-5 years’ experience in Operations Support and/or Back office environment, with exposure to analysis and issue resolution and tracking;
  • Competent analytical, investigative, problem solving, and planning skills;
  • Experience in revenue assurance, billing and data management would be an asset;
  • Ability to understand operational business processes, experience in activity tracking and reporting;
  • Shows initiative, tact and maturity;
  • Competent decision-making skills and sound judgment;
  • Proficiency with MS Office suite (Word, Excel, Outlook, PowerPoint and Access) and ability to generate basic reports and summaries;
  • Entrepreneurial spirit suited for fast-paced, results-based environment, requiring flexibility to ever-changing needs.
